HS Tutors is run by Adam Hussain, a sole trader based in the UK. This policy explains what personal information we collect when you use this website or book lessons, why we collect it and what your rights are. We are the data controller for this information under UK data protection law (the UK GDPR and the Data Protection Act 2018).
What we collect
- Enquiry details you send us: your name, phone number or email, the student's school year, subjects, exam board, goals and preferred lesson times.
- Booking details when you book a consultation through Google Calendar: name, email address and the time you choose.
- Lesson information once tutoring starts: the student's first name, progress notes, work they share with us and messages exchanged about lessons.
- Payment records: the amount paid, date and payer's name. We do not see or store card details.
- Technical data: our hosting provider, Cloudflare, processes IP addresses and basic request logs to deliver the site securely.
Why we use it
- To reply to your enquiry and arrange a consultation (taking steps at your request before a contract).
- To plan and deliver lessons and keep in touch about them (performing our contract with you).
- To keep financial records (legal obligation).
- To keep the website secure and working (legitimate interests).
We never sell your information or use it for advertising.
Children's information
Many of our students are under 18. We ask that a parent or guardian makes the enquiry and books lessons for students under 16. We only collect the information needed to teach the student, and we share progress updates with the parent or guardian who arranged lessons.
Who we share it with
We use a small number of trusted services to run HS Tutors. They only process your information to provide their service to us:
- WhatsApp (Meta) for messages, when you choose to contact us there.
- Google for calendar bookings, Google Meet lessons, email and reviews. This website also loads fonts from Google Fonts, which means your browser connects to Google's servers.
- Cloudflare to host this website.
Some of these providers may process data outside the UK. Where they do, they use safeguards approved under UK law, such as the UK International Data Transfer Addendum.
We will only share information with anyone else if the law requires it or if we have a safeguarding concern about a child's welfare.
How long we keep it
- Enquiries that do not lead to lessons: up to 12 months.
- Student and lesson records: for as long as lessons continue, then up to 2 years.
- Payment records: 6 years, as HMRC requires.
Cookies
This website does not set cookies or use tracking or advertising tools. If we add analytics in future, we will update this policy and ask for your consent where the law requires it.
Your rights
You can ask to see the information we hold about you, correct it, delete it, restrict or object to how we use it, or receive a copy to take elsewhere. To make a request, message us on WhatsApp on 07355 894533. We will reply within one month.
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed.
